Under the guidance and supervision of the Security and Training Officer, the Security Receptionist provides telephone communication and general reception and information services ensuring high quality and accuracy of work. The Security Receptionist promotes a client, quality, and results-oriented approach. The Security Receptionist works in close collaboration with the Country Office Programme and Operations staff, other UN agency staff and members of the public to exchange information and ensure consistent service delivery. UNDP adopts a portfolio approach to accommodate changing business needs and leverage linkages across interventions to achieve its strategic goals. Therefore, UNDP personnel are expected to work across units, functions, teams, and projects in multidisciplinary teams to enhance and enable horizontal collaboration.
- Provision of front-desk service and telephone communications service
- Update UN staff information
- Support to knowledge building and knowledge sharing.
Ensure the provision of front-desk service and telephone communication services focusing on the achievement of the following results:
- Monitoring of all visitors to the office, assisting visitors by providing directions and accurate information related to UN/UNDP.
- Operate and manage of telephone switchboard under appropriate protocol.
- Weekly check and test of all lines.
- Maintenance of recording information in the system, solution of minor technical problems, and reporting to the telephone service provider for regular maintenance and repair.
- Management and planning of the front desk coverage.
- Assistance in the preparation of cost-recovery bills for the administration services provided by UNDP to other agencies if requested.
Ensure the most updated UNDP/UN staff and other contact information, focusing on the achievement of the following results:
- Collection and update of UNDP/UN staff information every month, ensuring all data and information is correct and accurate.
- Update of the UN house telephone list and UN directory, address of the Government, International Organizations, Embassies, NGOs, and other important contacts.
Support knowledge building and knowledge sharing in the Country Office.
- Participate in training for the operations/projects staff on administration.
- Make sound contributions to knowledge networks and communities of practice.

Required Skills and Experience
Education:
Secondary Education is required.
A university degree in Business Administration, Public Administration, Social Sciences, Management, Finance, or equivalent will be given due consideration, but it is not a requirement.
Experience:
A minimum of 3 years (with a high school diploma) or up to 1 year (with a bachelor’s degree) of relevant work experience in administrative, receptionist, clerical, or secretarial roles is required.
Required skills
Experience in the use of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages.
Desired skills in addition to the competencies covered in the Competencies section
A University Degree in Administration, business, or social sciences is desirable.
Previous experience with the United Nations, Diplomatic, and International Organizations and International Non-Governmental Organizations is desirable.
Previous experience working as a receptionist, secretary, and administrative assistant is desirable.
Previous experience in customer service is desirable.
Required Language(s)
Proficiency in English – both written and oral is required.
Knowledge of the local language Dari and/or Pashto is required
