Job Description:

Main Duties and responsibilities:

  • Welcoming all the guests upon arrival and check in according to established standards and procedures
  • To offer a cordial welcome to all guests, and to endeavour to learn and use their names where appropriate.
  • To registering all arriving guests by obtaining all details required in accordance with the established procedure and local legislation.
  • To entering all arrivals’ accurately in the computer and to modify any information correctly with particular care towards Spelling, Registration Cards are completed and filled up, room rates and match with reservation correspondence.
  • To allocating rooms and ensure that any changes that occur are immediately passed on to Room Service, Housekeeping and other related departments.
  • To be familiar with all room types and rates in the hotel and their availability status and up-sell whenever possible.
  • To ensuring that rooms allocated comply with guest requested preferences, reporting any discrepancies to your immediate supervisor.
  • To liaising closely with Room Service, Housekeeping, Security or other related departments with regard to VIP allocations, amenities and special requests.
  • To ensure account instructions concerning discounts or special rates are complied with and recorded correctly in the departmental logbook.
  • To ensure the credit policy of the hotel is strictly adhered to at all times.
  • To ensure that doubtful credit ratings or questionable billing instructions are passed on to your immediate supervisor.
  • To ensure adequate stocks of stationery and equipment are ordered weekly or whenever required.
  • To complete and record guest messages, ensuring that they are accurate and clear, and are delivered and followed as soon as possible.
  • To operate the switchboard as and when required.
  • To take reservations and enter into the system, as and when required.
  • Attend to guests, complains, enquiries and requests, referring any problems to your immediate supervisor.
  • To carry out any other Front Office duties as may be assigned by the Guest Service Team Leader or Senior Guest Services Reception.
  • To be fully conversant with the VIP amenity set‑ups and codes.
  • To be fully conversant with the hotel’s procedure for no shows, cancellation and etc.
  • To be fully aware of all emergency procedures in case of computer failure.
  • To meet and greet all arriving and in-house guests, attempting where possible to satisfy all their requirements.
  • To be aware of all Food and Beverage Functions, Restaurants, Meeting Rooms as well as business and tourist facilities in the city.
  • To ensure that all information boards and brochure racks are kept up to date.
  • To ensure that all services are advertised to guests.
  • To sell in-house facilities by continuously promoting them at every opportunity.
  • To ensure privacy of guests by keeping all guests’ information confidential unless otherwise instructed by guests.
  • Report immediately to the GSTL or FODM if anything that is considered to be a health or safety hazard.

 

Other Duties:

  • To report for duty punctually wearing the correct uniform and name tag at all times.
  • To maintain a high standard of personal appearance and hygiene and adhere to the hotel and departmental grooming standards.
  • To provide friendly, courteous and professional service at all times.
  • To maintain good working relationships with your colleagues and all other departments.
  • To read and understand the Employee Handbook and adhere to the hotel’s rules and regulations and in particular the policies and procedures relating to Fire, Hygiene, Health and Safety.
  • Not to disclose any information on hotel guests to outside callers.
  • To be flexible and extend job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including redeployment to alternative departments/areas if required, to meet business demands and guest service needs.
  • To attend training and meetings as and when required.
  • To be fully aware of the work schedule and ensure adequate notice is given when circumstances prevent adherence to such a schedule.

 

 

Job Requirements:

 

Experience:

  • Previous hotel related experience desired
  • Approximate of 2 years relevant reception experience
  • Fluent in reading, writing and speaking, Dari
  • Excellent in reading, writing and speaking Pashto
  • Excellent English language skills speaking, reading and writing
  • Computer skills Proficient in Microsoft office and other necessary programs
  • High school diploma, bachelor’s degree will be preferred
