About Afghanistan Institute for Civil Society (AICS):
Civil society has long been a key factor in addressing a full range of issues in the social, cultural, religious, humanitarian, and political life of Afghanistan. With the focus on the transition to Afghan leadership, civil society, particularly local and national non-governmental organizations (NGOs), have the potential to play an important and complementary role in Afghanistan in the delivery of the government’s priority programs, in supporting improved governance, in connecting the wider Afghan population to the state, and in advocating for the vulnerable and excluded.
NGOs in Afghanistan face challenges, including financial and capacity gaps and a public trust deficit, in their endeavors to play such a role effectively. The government, the international community, and civil society have been considering methods by which to support NGOs to address these challenges and realize their potential, dating back to discussions at the Conference on Enabling Environment for Effective Private Sector Contribution to Development in Afghanistan in June 2007. One of the outcomes of these considerations was the formation of a working group, with representation from international and national NGOs, key national NGO networks, and civil society professionals, to establish an organization that will enable NGOs to address these challenges.
The Afghanistan Institute for Civil Society (AICS) objectives are:
- To raise the credibility of the civil society sector by certifying local NGOs using locally defined and internationally recognized standards.
- To systemize capacity-building efforts by coordinating initiatives using measurable performance indicators.
- To strengthen the role of civil society in Afghanistan’s development through policy dialogue and active engagement with the government, donors, and the broader development sector.
- To provide a channel for resources for civil society by strengthening philanthropic and corporate social responsibility efforts.
Job Description:
To support AICS in the areas of procurement, logistics, transport, office management, and security of AICS space and personnel.
- Seek approval, and dispatch as and when required in line with AICS Procurement Procedures Manual.
- Prepare Goods Receive Notes, make stock cards, and make sure storage of goods based on goods storage requirements.
- Monitor and supervise the support staff activities for the office building.
- Regularly monitor the rental driver’s log sheets, staff overtime, and vehicle movements.
- Monitor the fuel issuance/receipt and deal with the fuel providers for the AICS vehicles and office operations.
- Acquire a lump sum of advance from finance for the administration of small purchases for the office and to clear advance with finance according to the expenditures.
- Prepare the schedule for the support staff for day and night duty and submit it to the operation.
- Check the photocopy machines, scanner, and any other office IT equipment, in case of any problem seek timely repair.
- Make sure that all official vehicles are running and maintained in very good condition.
- Serve as security focal point; advise newly hired staff on security protocols, provide regular security advice for staff and contractors; conduct regular security simulations.
- Maintain constructive and cooperative working relationships with colleagues and management
- Receiving, storing, and issuing goods.
- Record maintenance and coordination with suppliers.
- Adherence to policies and procedures.
- Compliance with safety, security, and health regulations.
- Responsible for storekeeping of goods, materials, and distribution of materials to project sites, classes, etc.
- Varied work environments (warehouses, storage rooms).
- regular physical activity (lifting, moving goods).
- Any other relevant tasks assigned by the line manager.
Job Requirements:
- High school graduate with experience in storekeeping of goods & services.
- 2-3 years of relevant experience in administration, logistics & procurement with NGOs
- Experience working with communities and Shuras
- Ability to work in different environments
- Be able to work under pressure with a tight deadline
- Good communication skills with a good command of Pashto & Dari and familiarity with the community context.
- Excellent interpersonal skills, people person, diplomatic, empathic
- Ability to work and manage fieldwork.
- Ability to work collaboratively with colleagues
