The HR/Administrative Associate will work under the supervision of the HR Specialist, supporting Human Resources-related activities such as recruitment, administrative tasks, and visa processes.
Functions/Key results expected:
The staff will perform the following duties,
- Develop timesheet, leave form, and leave tracker templates for drivers.
- Maintaining the filing system (personnel and recruitment files), scanning, and sharing point updates.
- Visa and immigration renewals at the Ministry of Foreign Affairs (MoFA), Ministry of Interior (MoI), and Passport Department for international staff and support national employees with verification and visa support letters.
- Regularly updating the contact list updates and distribution to visitors and new staff.
- Office supplies and support HR presentations
- Provide necessary assistance and set up HR training, scheduling, and conference room reservations.
- Provide support in the recruitment process including, but not limited to the following activities:
- Finalizing the “New Position Requisition Form” for advertising the vacant positions and providing a clear recruitment plan to the Hiring Manager.
- Advertising of vacancy announcements internally and externally as required.
- Ensure hiring and recruiting processes are fair and transparent.
- Evaluate candidates against position requirements.
- Screening the applications/CVs to prepare longlists to forward to the Hiring Manager.
- Arranging and scheduling interviews and written tests in close coordination with HR Specialists and recruitment
- Participate in the interview/selection panel if needed.
- Effectively communicate with candidates via phone or email.
- Finalizing recruitment decision summary as per the feedback/scores received from interview panel members.
- Maintain applicant tracking system Update candidate statuses in the appropriate recruitment systems (Applicant Tracking System)
- Do reference checks of the selected candidate’s visa by email or phone.
- Sending offers to the selected candidates.
- Backstop for the HR Specialist when requested.
- Perform any other duties as assigned by the supervisor.
Impact of results:
The HR Associate’s support would ensure fair and transparent processes are followed, building trust and confidence among staff on HR support for successful program delivery.
Job Requirements
Knowledge, Skills, and Abilities:
- Experience in human resource management, especially with recruitment in an Afghan agency, NGO, or international organization.
- Excellent written and verbal communication skills.
- Good knowledge of Microsoft Word, Excel, and PowerPoint. Proficient use of other HRIS.
- Proven ability to multitask and deliver results.
- Good team spirit and ability to effectively manage external and internal relations.
- Ability and willingness to travel to the region, if necessary.
- Ability to work in a team.
- Ability to draft and prepare memos, and letters in English, Pashto, and Dari.
- Keen sense of ethics, integrity, and commitment to IDLO’s mandate.
Education:
- Bachelor’s degree in human resources, Business Management, or similar field
Experience:
- 5 years of relevant experience
Language Requirements:
- Fluency in English, Pashto, and Dari is required.
