Job Description:
- Keep the office environment efficient and organized;
- To maintain efficient daily operations, manage the office’s buildings, equipment, and supplies;
- Create and put into operation a document management system for the business;
- Ensure that organizational records and documentation are filed, kept, and retrieved correctly;
- The sourcing of vendors, acquiring quotations, and processing of purchase orders are all coordinated procurement processes;
- Maintain asset tracking, inventory control, and supply distribution;
- Plan the trip logistics for the staff, including the reservation of flights, lodging, and transportation;
- assist with making plans for travel insurance and visa applications;
- Events, workshops, and meetings should be planned and coordinated both internally and externally;
- Create the meeting’s agenda, minutes, and supporting documents;
- Put security and safety measures in place at the workplace;
- act as the point of contact for evacuation and emergency response protocols;
- Give new employees administrative orientation and training;
- Make sure administrative rules and regulations are followed;
- Manage correspondence via email, phone, and physical letters both internally and externally;
- Organize directories and contact lists;
- As needed, create routine administrative reports for high management;
- help in tracking the budget and reporting the expenses;
- Any other tasks and responsibilities as required or requested by direct supervisor.
Job Requirements:
A bachelor’s degree in business administration, procurement, supply chain management, or a similar profession.
• Proven Admin officer experience, particularly in a field or organization that is similar to it;
• knowledge of the tools and software used in admin;
• strong communication and bargaining abilities;
• knowledge of best procedures and administrative laws;
• a meticulous person with great organizational abilities;
• Ability to function both individually and as a team.
