Mission and objectives

Context
This UNV assignment is part of the UNICEF Afghanistan Country Office (ACO) administration team. Under the supervision of the Administrative Associate 21378 GS6 FT (IB), the post holder (PBR22-01) will perform registry functions for the ACO.
Task description
Within the delegated authority and under the supervision of the Administration Officer (62723 NOB FT (IB) or his/her designated mandated representative(s), the UNV Admin Associate – Facilities Management will: • Assist Administrative Associate Facilities Management in the provision of timely, efficient, and appropriate delivery of administrative services and upkeep of office premises. Assisting in the arrangement of contacts for cleaning services. Assist in maintenance and repair of office premises, furniture, fixtures, and equipment. • Assists in administrative arrangements and provision of facilities/logistics for meetings/workshops organized by UNICEF. • Scrutinizes all bills e.g., utilities, invoices, gasoline; office supplies etc., for approval by the supervisor and raises payment requests for processing by Finance. • Assist in looking after the office equipment like photocopy machines, generators, and others. Assist in follow-up on the preventive and maintenance arrangements with operators and with contractors. • Assist and maintains records and files pertaining to Admin. Prepares list of old records/files for disposal. • Assist in the safekeeping of non-expendable office property and participates in physical inventory. • Assist and monitor contract implementation, validity, and adherence to the provision of the contracts. Release of the payments for the contract in accordance with the provision of the contract after the certification of the concerned officers. • Assist and ensure the provision of office supplies and services and maintain stock of office supplies and distributes this accordingly. • Review/update contractual status of ancillary services etc. • Back up for registry assistant when required. • Any other duties assigned by supervisor(s). Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities: • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and taking an active part in UNV activities (for instance in events that mark International Volunteer Day). • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country. • Provide annual and end-of-assignment self-reports on UN Volunteer actions, results, and opportunities. • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc. • Assist with the UNV Buddy Programme for newly arrived UN Volunteers. • Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

Requirements
Required experience
2 years of experience in admin, common services, or facilities management, or other relevant operations; experience in Admin Management will be an asset; experience working in the UN or other international development organization will be of added advantage. • Other desired/mandatory required technical knowledge • Excellent oral and written skills; excellent drafting, formulation, reporting skills. • Accuracy and professionalism in document production and editing. • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development. • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel. • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment. • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines. • Sound security awareness.

Living conditions and remarks
This is an office-based post within the UNOCA compound in Kabul. As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. Entitlement: Entry lump sum: (onetime payment)USD 400 Volunteer living allowance: (per month)USD 1,055 Exit allowance ( for each month served, paid on successful completion of the assignment): USD 84 Medical and life insurance Cigna private insurance.
